Aria MediSpa: Policies & Guidelines for a Seamless Experience


1. Scheduling Appointments

  • Preferred Scheduling: We recommend making an appointment to ensure availability, though we do accept walk-ins based on current capacity.
  • Booking Channels: Appointments can be scheduled by phone, email, or text for your convenience.
  • Required Information: When booking, please provide your full name, date of birth, contact information (phone, email, address), and any other necessary details.
  • Eco-Friendly Commitment: As part of our green initiative, we no longer offer paper forms. Instead, you’ll receive electronic forms on the day of your appointment. Please review, sign, and submit these forms before your visit. If you haven’t received them, please contact us to verify your contact details.
  • Health Disclosure: It’s your responsibility to inform us about any undisclosed health conditions or special requirements that could impact your treatment. This ensures your safety and optimal care.

2. Treatment Policies

  • Therapist Preferences: If you prefer a male or female therapist, please indicate your preference at the time of booking. If no preference is provided, we will assign the next available professional.
  • Arrival Time: We recommend arriving 10-15 minutes before your scheduled treatment to complete any necessary paperwork and prepare. Late arrivals will still be charged for the full service, but your treatment may be shortened.
  • Age Restrictions: Treatments are available to clients aged 14 and up. Guests under 18 must be accompanied by an adult and will receive services from a same-sex therapist (e.g., female minors will only receive services from female therapists).
  • Right to Modify Treatment: Therapists reserve the right to alter or withhold portions of treatments based on the information provided regarding allergies, health concerns, or other factors that may affect your safety and well-being.
  • Satisfaction Guarantee: If you are not satisfied with your treatment during the first 15 minutes, you can stop the service and reschedule at no extra charge. Dissatisfaction after completion, however, will not qualify for a reschedule or refund.

3. Check-In Procedures

  • Timeliness: Please arrive 10-15 minutes early to fill out forms, change, and relax before your treatment.
  • Late Arrivals: While we will try to accommodate you, late arrivals may have their treatment time reduced. Full payment for services is required regardless of start time.
  • Relaxation Area: We encourage you to arrive early to unwind in our relaxation lounge, where you can enjoy complimentary tea, coffee, cocoa, or hot cider. Couples and groups are welcome to bring wine, and we’ll provide glasses.

4. Personal Belongings

  • Valuables: For your safety and peace of mind, please leave valuable items and jewelry at home. Aria MediSpa is not responsible for any lost or misplaced items.

5. Cell Phones & Electronic Devices

  • Quiet Environment: To maintain a serene atmosphere for all guests, we kindly ask that you refrain from using cell phones or other electronic devices during your visit.

6. Video Surveillance

  • Monitoring for Safety: Please be aware that Aria MediSpa is equipped with video surveillance in various areas, including hallways, treatment rooms, pools, and other communal spaces. This is a safety measure required by our insurance provider.

7. Payment & Cancellation Policies

  • Prepayment Requirement: All services must be prepaid at the time of booking to secure your appointment.
  • Returned Payments: A $50 fee will apply for any payments that are returned due to insufficient funds.
  • Outstanding Balances: Any unpaid balances will be forwarded to collections, and you will be responsible for all collection costs, including agency fees, court costs, and legal expenses.
  • Cancellation Policy: We value your time and ours. If you need to cancel or reschedule, please do so at least 48 hours in advance. Cancellations made within 48 hours or no-shows will incur a charge for the full price of the scheduled service.

8. Group Bookings

  • Group Reservations: For parties of three or more, please contact our group coordinator to discuss availability, pricing, and requirements. A completed contract and deposit are required to secure your group booking.
  • Gratuity: A 20% gratuity will be automatically added to all spa party bookings.
  • Exclusive Spa Use: If you’re interested in reserving the entire spa for your group, please inquire for available dates and additional pricing.

9. Gratuity

  • Not Included: Gratuity is not included in the service price. We recommend tipping 15-20% based on your satisfaction with the service. However, gratuity is always at your discretion.

10. Financing Options

  • Flexible Payment Plans: We understand that wellness and self-care are important investments. To make your treatments more accessible, we offer financing through trusted partners such as CareCredit, allowing you to make low monthly payments.
  • Easy Application: You can apply for financing online or speak with our patient coordinator during your consultation to choose the best plan for you.
  • Accepted Payments: We accept Visa, MasterCard, American Express, and cash for your convenience.

Gift Certificates

Gift Certificates are not valid with any other special offers. Gift Certificates are non-refundable and may not be redeemed for cash. Gift certificates purchased at a specific dollar value cannot be used toward gratuity. The gift Certificate must be presented before services are rendered, otherwise an alternative form of payment will be expected. Aria MediSpa is not responsible for the unauthorized use of any lost or stolen gift certificates or any damage to gift certificates after they have been purchased with a valid form of payment. Gift certificates are displayed with the phone number and internet address where the holder of the certificate may obtain information regarding the diminution in the value of the certificate over time. A gift certificate that has not been used during 12 month is subject to a maintenance fee of 5% of remaining value. A gift certificate that has remained unclaimed by the owner for more than five years is presumed abandoned. A promotional or free gift certificate that has not been purchased by a customer and remained unclaimed by the owner for more than one year is presumed abandoned.

Deals, Specials, and Discounted Services and Product

Promotional value expires 120 days after purchase. Amount paid or cash value never expires. Appointment required. All goods or services must be used by the same person. Aria MediSpa standard cancellation policy applies.

Skin Care Products

All products subject to 6 % VA state tax;

Refunds and Exchanges

No refunds will be given for products or services, but can be exchanged for another service, product, or Spa credit. The Spa credit will never expire, and  can be used to purchase another product, or any Spa  services. Products may be returned to their original Vendor in accordance with their returns policy.

Services To Minors

Aria MediSpa will provide massage therapy and skin care services to minors under the age of eighteen (18) only if a parent/guardian is present in the treatment room for the entire time that the services take place.

Aria MediSpa does not provide skin care services to minors under the age of twelve (12).

A parent/guardian of any minor under the age of eighteen (18) must provide written permission in person at the initial consultation, prior to the minor receiving any service.

The parent/guardian may provide written permission by filling out Aria MediSpa’s Treatment Consent form in the presence of an Aria MediSpa staff member.

Aria MediSpa is not responsible for loss or theft of personal items or articles.

What to expect during consultation?

  1. General Evaluation and Consultation consists of a VISIA Complexion Analysis and Full Body DEXA Composition Test.

  2. VISIA Analysis Scan captures key visual information of your skin, measure your skin pigmentation, pore size,  UV spots, photo damage, texture and wrinkles.

  3. Our Full Body Composition Scan reveals important information regarding body composition, fat, muscle mass, and bone density.
